important reminders

Here are a few important reminders as you prepare for your travels:

  • REMINDER!  Please check final times/locations/details before each fair. |  In the event of late changes or adjustments due to unforeseen circumstances, we ask that everyone double check the “Confirmation Page” website linked in this email and keep an eye out for updates to final times, locations, etc. 
 
  • VERY IMPORTANT!  WELCOME & CAMPUS RELATIONS WORKSHOP & LUNCHEON @ EACH FAIR |  At the fairs there will be a Formal, Mandatory Welcome & Campus Relations Session along with a Luncheon (Note:  the new Billings Fair does have a little difference schedule, so please check those details.).  With your registration, you are specially invited to participate in this session and luncheon.  The MT Tribal Colleges have worked very hard to prepare this time with you and your institution, and they have made special arrangements to organize lunch in your honor.  The times for this are outlined in the detailed schedule linked below.  Each MT Tribal College has prepared a special campus relations event for you, so you can understand their campus and student programs and build relationships even more than in previous years.  Again, this fair circuit is designed to keep collaborations with the Tribal College’s programs strong.  The goal is NOT to recruit transfer students away from their existing program or campus, but instead, work in collaboration with their existing plans.  These meetings are mandatory and will be essential to the success of these fairs.  At our first fair we will all have a little more time for an official welcome and group introductions along with the local campus update.  Thank you for your understanding and respect of this request.  Your on-time attendance shows appreciation and respect to the hosting campus.  Thank you!

  • DOOR PRIZES  |  Each of the fairs will have Door Prize Drawings throughout each fair.  This is a time when you can promote your institution even more by giving away a T-Shirt, Water Bottle, Notepad, etc. with your logo on it; however, other gift ideas related to education are also welcome!  We encourage this and hope you will be able to participate by bringing 6 door prizes to participate in each of the door prize drawings at each fair.  And, lastly, this year you are also welcome to have giveaways for students attending the fair as well if you would like.  Again, this is not required, but if you would like to share promotional educational items you are welcome.
 
  • SITE THANK YOU’S  |  Each of the Tribal Colleges hosting a fair have worked very hard to make this a welcoming and successful event for you and your institution.  They are very excited to have you part of this year’s events!  As a tradition, many of these campuses will honor you with a gift, lunch, and/or traditional welcome, as it is customary to share a gift  as a sign of respect.  Therefore, a thank you note and/or a small gift to the site coordinators as a sign of appreciation is  welcomed. These gift can be presented individually by you to the site coordinators at each location (There are a total of 8 site coordinators – 1 per fair, and their names and contact are listed on the detailed schedule linked below).
 
  • HANDOUTS (GIVE-AWAYS) FOR STUDENTS  |  Due to the nature of these fairs, you are allowed to bring smaller items/gifts to give out to the students if you would like.  This is not a competition to give out the best table gift; but, instead, a promotion of higher education in general.  Please be thoughtful in what you give out; keep in mind the symbolism and quality of your handouts for students. 
 
  • SAFE TRAVELS  |  Montana Weather  |  This fair circuit works really well for transfer student timelines with financial aid and application deadlines; however, Montana winters and early spring can be very cold and road conditions vary by the hour.  This year’s fairs are little later, so hopefully weather will be calmer this time of year, but we still encourage you to be safe and drive cautiously and be prepared by packing warm cloths (gloves, mittens, boots, warm coat, blanket, extra food, water, etc.) in your car. 
    • A Few Reminders  |  This should be a fun circuit and an opportunity to meet many great folks across the state and beyond while serving many students, but it is of utmost importance to be safe along this Montana journey.  Travel safely and be please keep an eye out for your neighbor while we travel together across the state.  We all will be traveling the same routes, and we encourage you to try to travel in groups as cell service is not always guaranteed in all parts of Montana.  We will be exchanging cell phone numbers before the fairs, so that we can all stay connected.  Please help us keep this safe and productive for everyone!   Safe travels! 
    • Gas Reminder  |  Also, it is recommended to keep your gas tank close to full when you leave your hotel for the next fair.  Gas Stations can be sporadic and hard to find in some of these small communities, so we encourage you to prepare ahead and fill your gas tank before you leave for the next fair.

  • Fair Site Variations  |  Please know that each fair location will vary in details as far as setup, rules, layout, table size, etc..  Some locations will have more space and may allow for bigger signs, etc.  We will let know you if there is enough space for this.  Overall, we ask for understanding, as all sites are doing the best they can to host a successful fair for all attendees and details may change along the way to make this event safe.  Thank you for your understanding and team efforts to help student together!
  • Table Size &  Layout Variations  |  Please keep in mind that Site Hosts have worked hard to collect tables from all over their campus and community.  Table size will vary from fair to fair.  Please be prepared to adjust your table set-up, as table selection will be on first-come-first-served basis.  Please arrive early if this is of concern for you, so you will have early selection of tables.  Thank you for your understanding, as the Site Host are doing the best they can with limited resources to create an equitable experience for all and overall service to students.  Have a great fair!
  • Special Accommodations  |  If you need help with special accommodations, please contact the Site Host before the fair, and we are happy to help in any way we can.  Some facilities may have stairway's into the buildings, etc.  Please check with us before the fair if you have questions or concerns.  Thank you!"

  • Please call ahead to those hotels with any questions to make sure they have what you need.
